OMRON SINIC X Corporation (hereinafter referred to as "the Company") handles personal information as set forth below. However, where the Company has notified or announced to the individual concerned, or obtained the individual's consent, regarding the handling of personal information in connection with a particular business or service, the Company shall act in accordance with the content of such notification, announcement, or consent.

1. What is Personal Information

"Personal information" refers to information that can identify a specific individual, as defined by Japan's Act on the Protection of Personal Information (APPI), including an individual's name, age, telephone number, email address, address, place of employment, information regarding products or services purchased by the individual, information related to inquiries, personal identification codes, and other such information.

2. Basic Policy on Personal Information Protection Management

  1. The Company shall properly collect, acquire, use, and provide personal information.
  2. The Company shall endeavor to keep personal data accurate and up to date.
  3. The Company shall take necessary and appropriate measures for the management of personal data, including the prevention of unauthorized access, loss, leakage, destruction, or damage.
  4. The Company shall comply with laws and regulations concerning personal information and related guidelines, as well as internal company rules.
  5. When outsourcing the handling of personal data to an external party, the Company shall entrust such handling only to contractors that satisfy the requirements set forth in the Company's rules, and shall
    carry out appropriate management thereof.
  6. The Company shall continuously strive to improve its protection of personal information.

3. Name, Address, and Representative of the Business Operator Handling Personal Information

4. Purpose of Use of Personal Information

The Company shall handle personal information in connection with (1) the businesses set forth below (hereinafter referred to as the "Research and Development Activities" or "R&D Activities") and within the scope of (2) the purposes of use set forth below.

  1. Business Activities of the Company
    1. Research and development related to future visions of society based on advanced science and technology
    2. Research and development related to machine perception, control, and human-machine collaboration
    3. Research and development related to human perception and behavior
    4. Technical cooperation and support for the research and development, production, sales, and promotional activities of affiliated companies
  2. Purposes of Use
    1. Performance and implementation of the acts listed below that relate to the R&D Activities conducted by the Company, its affiliated companies, and business partners, and the recording and management of such acts
      1. Planning and proposal of the R&D Activities
      2. Research and analysis relating to the R&D Activities (including the acquisition, analysis, and utilization of data on the web)
      3. Preparation, provision, sending, and publication of various materials relating to the R&D Activities (including the processing of acquired data into datasets and the publication thereof)
      4. Communication relating to business alliances, joint research, etc., and the conclusion and performance of contracts, etc. relating thereto
      5. Publication of the results of the R&D Activities, such as through lectures and through the preparation and presentation of papers
    2. Notification of events relating to the R&D Activities, such as study sessions and exhibitions
    3. Ensuring security, such as entry/exit management and crime prevention, at the sites of the Company and its affiliated companies
    4. Responding to or confirming inquiries from other business operators, business partners, academic research institutions, etc., and the recording of such responses or confirmations
    5. Providing information to, communicating with, and notifying job applicants regarding the Company and its affiliated companies; conducting recruitment selection procedures; and carrying out onboarding procedures for hired employees
    6. Duties entrusted to the Company by other business operators or business partners, or joint research activities conducted with other business operators, business partners, academic research institutions, etc.

5. Joint Use

The Company shall jointly use personal information as follows.

  1. Items of personal information
    The individual's name, address, place of employment, image, and information relating to the R&D Activities, etc.
  2. Scope of joint users
    Affiliated companies, joint research partners, dealers, agents, etc.
  3. Purpose of use
    Personal information shall be jointly used within the scope of the purposes set forth in "4. Purpose of Use of Personal Information" above.
  4. Name, address, and representative, etc. of the company responsible for the management of personal data
    The Company shall be responsible for the personal data jointly used. For the Company's address and representative, please see "3. Name, Address, and Representative of the Business Operator Handling Personal Information" above.

In addition, when engaging in joint use, the Company shall publish on its website the items of personal information necessary to achieve the purpose of the joint use, the scope of the joint users, the purposes of use of such users, and the person responsible for the management of the personal information, so please refer to such publication. Furthermore, when engaging in joint use with a third party located overseas, the Company shall likewise publish on its website, or respond to inquiries regarding, information such as the data management system required of such joint user and the name of the country to which the information is provided.

6. Provision to Third Parties

Except in the cases set forth below, the Company shall not disclose or provide personal data to a third party without obtaining the prior consent of the individual concerned. However, where the third party to whom the data is provided is located in a foreign country, the Company shall not disclose or provide personal data to such third party even in the cases set forth in (5), (6), and (7) below, unless the individual's prior consent to that effect has been obtained, except where otherwise provided by law.

  1. When based on laws and regulations.
  2. When necessary for the protection of a person's life, body, or property, and it is difficult to obtain the individual's consent.
  3. When especially necessary for improving public health or promoting the sound development of children, and it is difficult to obtain the individual's consent.
  4. When it is necessary to cooperate with a national government agency, a local government, or a person entrusted by either of the foregoing in executing affairs prescribed by laws and regulations, and obtaining the individual's consent is likely to impede the execution of such affairs.
  5. When entrusting a subcontractor with all or part of the Company's operations in order to carry out its business smoothly.
    In this case, the Company shall enter into a contract with the subcontractor concerning the handling of personal information and the protection of its security, and shall carry out appropriate management thereof.
    Furthermore, when providing personal data to a subcontractor located overseas, the Company shall publish on its website, or respond to inquiries regarding, information such as the data management system required of such subcontractor and the name of the country to which the data is provided. Where the Company provides data to a third party located in a foreign country that meets the standards established by Japan's Personal Information Protection Commission (PPC), the Company shall, with respect to providing the individual with information such as the data management system required of the recipient and the name of the country to which the data is provided, respond by way of notification, publication, posting on its website, other such means, or in its response to inquiries.
  6. When engaging in the joint use set forth in "5. Joint Use" above.
  7. When accompanying a business succession.

7. Matters Concerning Security Control Measures

The Company shall take necessary and appropriate security control measures for the management of personal data, including the prevention of leakage, loss, or damage. With respect to the disposal of personal data, the Company shall establish a retention period for personal information according to the purpose of use, and shall dispose of such data by an appropriate method once the purpose of use has been achieved. In addition, the Company shall exercise necessary and appropriate supervision over employees and subcontractors (including re-subcontractors) who handle personal data.

8. Matters Required for Requesting Disclosure, etc.

The Company shall promptly respond, to a reasonable extent, to requests for disclosure of retained personal data, correction, addition, or deletion of its content, or suspension of use or erasure (hereinafter referred to as "Requests for Disclosure, etc."). The procedures for such requests shall be as follows.

    The Company shall respond by the method indicated on the request form.

9. Cases Where the Company Cannot Respond to a Request

The Company cannot respond to a "Request for Disclosure, etc." in cases provided for by laws and regulations, or where there are deficiencies in the matters set forth in 8 above.
